Please note:
- The registration fee includes the annual EUROMECH membership fee (€30). Non-EUROMECH members who register for the conference become members automatically for one year. They will be invited to renew their membership subsequently. For EUROMECH members who register for the conference, their membership will automatically be extended by two years.
- To register as a Student (undergraduate, graduate or PhD student) a proof of enrollment (i.e. a scanned copy of the student ID card) must be send to the ESMC2025 Conference Secretariat by e-mail (esmc2025@scienceconf.org) to confirm the student status at the time of the conference. Postdocs must register as Standard.

  • Gala Dinner :
The Gala dinner will NOT be included in the registration fee. Registration to the gala dinner will be booked and paid via the registration website (opening in January), on a first come / first served basis.

  • VISA INFORMATION

    Participants coming from outside the Schengen Area wishing to enter France must be able to submit statutory documents at the border concerning the reasons for their stay, their means of support and accommodation arrangements.

    A visa is generally required, in the absence of a waiver. For general information and for preparing, submitting and tracking your visa application, log on to France-Visas, France’s official visa site, with all the information you need to guide you through the process and help you every step of the way.
    Waiting times for appointments and for processing applications will vary depending on your nationality and on the time of the year. Participants are advised to check whether they will need a visa and submit any visa application well in advance of the conference.

    If you need an invitation letter for a visa purpose, you will be able to request it through the registration process. For participants submitting contributed abstracts, requests should be made as soon as possible after receiving notification of acceptance.

  • CANCELLATION POLICY
Delegates who find themselves unable to attend after submitting a registration form are most welcome to nominate a substitute. All substitutions and cancellations should be notified in writing by e-mail to esmc2025@insa-lyon.fr and eric.maire@insa-lyon.fr
 

Cancellations until 7th of June : 50€ for administrative costs

Cancellations from 7th of June to 6th July 2025 : 50% penalty

Cancellations after 7th of July 2025 : no refund - 100% penalty

 

 

  • DATA PROCESSING (GDPR)

    The information entered into the registration form will be subject to computer processing by Insavalor is processed by computer for Euromech in order to manage the logistic organisation of the ESMC conference.

  • PHOTOGRAPHY

    In conformity with European regulations, ESMC 2025  delegates are informed that photos or videos will be taken by members of the organising committee or their photographer(s) during the conference and within the conference sites, and that they may be photographed or filmed. They authorise the committee to reproduce and communicate to the public the photos or images taken. TAKING PICTURES OF SLIDES DURING THE CONFERENCE IS PROHIBITED. YOU SHOULD RATHER KINDLY ASK THE AUTHOR WHO WILL PROBABLY SHARE THEIR MATERIAL WITH YOU.
